How to register events

1. Add a new record to the relevant module (Births, Deaths, Marriages, Divorces, Foetal Death, ITOP).
2. Starting with the Details(1) tab complete all fields in the module with data from the registration application:
   • Use the Field Level Help tool to find a description of a field as it is used in your organisation.
   • If unsure of a value to add to a field, use the Lookup List (F12) to display a list of available values.
   • Details about how to enter values in an Attachment field can be found in How to attach records.
3. Save the record.

1. Search the Births module for the relevant record.
2. Select Process>Adoption>Add from the Menu bar.

   A new record opens.

3. Select the Child tab.

   Some registration details are carried over from the original Births record (e.g. Registration Number, Date of Birth, Sex).

4. Complete the remaining fields, e.g. the child's new name, and the names of the new parents.
5. Complete details on the Sex Chg/Adopt tab.
6. Save the record.

   The new adoption record replaces the original birth record, which is archived.

Note: Select Process>Adoption>Remove to reverse an adoption.

It is possible to record a request made for a registration record that cannot be found in the system.

If you have completed a search in all relevant modules and are sure that the requested registration record does not exist, you can record it as a No Record.

1. Add a new record to the No Record module.
2. Enter an application number in the Application Number: (Application Details) field.
3. Enter the date the application was filed in the Application Date: (Application Details) field.
4. Enter a status of the record in the Status: (Application Details) field, e.g. Pending.
5. Select the Birth, Death, Marriage or Change Of Name Application Type radio button.
6. Indicate whether the request is a priority, e.g. select Yes or No.
7. Enter the approximate time of the event.
8. Enter the start date of the event.
9. Enter the end date of the event.
10. Enter the index that has been searched, e.g. ebirths.
11. Enter the date of birth.
12. Enter all other known data into the name details fields, e.g. Surname, Given Names, Father'sSurname and Given Names, Mother's Surname and Given Names.
13. Select the Applicant tab.
14. Complete the applicant details with the applicant name, address, telephone number, reason for the search and relationship to the person whose record is requested.
15. Save the record.
